Seller Approval and Compliance Workflow

Overview

How AI Agents and Automations Are Reviewed and Approved Before Going Live

Every automation uploaded to Autonoms must pass a strict approval process before being published in the marketplace. This ensures trust, quality, and repeatability for buyers, while giving sellers clear standards.

1. Submission Requirements

When submitting an automation, sellers must provide:

  1. Detailed Description
    • What the agent does.
    • The problem it solves.
    • Who it is for (target buyer/company type).
  2. Correct Category Selection
    • Agent must be listed under the most relevant category (e.g., Sales, HR, Marketing, Customer Support, Operations).
  3. Agent Image/Thumbnail
    • A clear, professional image or visual that represents the automation.
    • No random stock images; must align with the automation’s purpose.
  4. Demo Video
    • Seller must record a clear video demo (screenshare, Loom, or similar).
    • The video must:
      • Show the automation running end-to-end.
      • Be narrated (explain what’s happening).
      • Follow Autonoms AI video quality standards (minimum resolution, clear audio, under 5–7 minutes).
  5. Tools Required
    • List all tools and platforms needed for the automation to function (e.g., Slack, Airtable, Gmail, Zapier).
  6. Subscription Costs
    • Clearly state any paid subscriptions or API credits needed.
    • Include estimated monthly/annual costs for full functionality.
  7. Estimated Time Savings
    • Provide an estimate of hours saved per month for a typical employer using this automation.
  8. Estimated Cost Savings
    • Estimate financial savings (e.g., replacing manual labor, reduced tool overhead).
  9. Deployment & Integration Time Estimate
    • Approximate time required to deploy and integrate the agent (e.g., 2 hours, 1 day, 3 days).
  10. Documentation
  • Step-by-step setup instructions.
  • Credentials required (without exposing PII).
  • Known limitations or caveats.

2. Review Process

Once submitted, the automation goes through Autonoms AI’s human-in-the-loop approval workflow:

  1. Reviewer Checklist (all 10 criteria above are verified).
  2. Functionality Test – Reviewer may run a limited test of the workflow to ensure it works as described.
  3. Security Check – Ensure no sensitive data is exposed and integrations are secure.

3. Request for Information / Change (RFI / RFC)

  • If a submission is missing details or requires clarification, the reviewer will issue an RFI (Request for Information).
  • If the automation needs changes (e.g., unclear demo, incorrect category, missing subscription cost), the reviewer will issue an RFC (Request for Change).
  • Each RFI/RFC creates a back-and-forth loop with the seller via the platform.

Limits

  • Maximum of 3 RFI/RFC cycles per submission.
  • If issues are not resolved after 3 attempts, the automation is rejected.

4. Rejection Criteria

An automation will be rejected if:

  • It fails 3 RFI/RFC cycles.
  • The demo video does not clearly show functionality.
  • The automation does not work as described.
  • Security or compliance risks are found.
  • Documentation is incomplete or misleading.

5. Approval & Publishing

If all criteria are met:

  • The automation is approved.
  • It is published in the Autonoms Marketplace.
  • Buyers can now view:
    • Demo video.
    • Documentation.
    • Setup requirements (tools, subscriptions, costs).
    • Time and cost savings.
  • The agent is officially live and available for purchase.

6. Continuous Monitoring

  • Even after approval, automations remain under ongoing review.
  • Poor buyer ratings, repeated support issues, or security violations may lead to:
    • Temporary suspension.
    • Permanent removal.
    • Seller warnings or bans.
